Your journal is yours

Time & Pace is a space to bring your thoughts, prayers and hopes. So you can make an informed choice, here's what that means for your data.

What you write may include your faith, your wellbeing and personal matters. The law treats this as sensitive information, so we need your explicit permission to use it. Your entries are stored privately in your account and are never sold.

To coach you, your entries are processed by an AI service. It asks questions and reflects things back to you. It never claims to speak for God. You can request a copy or deletion of your data, and withdraw consent, by contacting us.

Time & Pace is a coaching and reflection tool. It is not therapy, counselling, medical advice or a crisis service.

1. Who we are

Time & Pace ("we", "us") is run by Naomi Aidoo, the data controller for the Time & Pace app at app.timeandpace.co. Contact: naomi@timeandpace.com.

2. What we collect

  • Account details: your name, email and securely protected password, to create and secure your account.
  • Your content: journal entries, coaching conversations, voice notes and uploaded journal images, expectations, affirmations, steps, thankful notes and Me Moment Matrix, to provide the coaching and journaling features.
  • Payment details: your plan and billing history, to take payment and manage your membership. Stripe handles card details, not us.
  • Usage data: log-ins, features used, device and browser type, to keep the app working, secure and improving.
  • Marketing preferences: whether you opted in to emails, to send marketing emails only if you asked for them. Creating an app account does not itself opt you in to marketing.

3. Sensitive information

What you write may reveal your religious beliefs, your health or mental wellbeing, or other personal matters. UK GDPR calls this "special category" data. We process it only with your explicit consent, which you give at sign-up and can withdraw at any time by contacting us.

4. Our legal reasons for using your data

  • Contract: to provide the app you signed up for, including payments.
  • Explicit consent: for your journal and coaching content, which may contain special category data.
  • Consent: for marketing emails, only if you opt in.
  • Legitimate interests: to keep the app secure, prevent misuse and understand in aggregate how features are used.
  • Legal obligation: for tax and accounting records.

5. How the AI works with your data

When you use a coaching feature, relevant text is sent securely to an AI service to generate a reply. Voice notes and journal images may also be sent for transcription or interpretation when you use those features.

Time & Pace uses OpenAI and Google models through the Lovable AI Gateway. PACE currently uses OpenAI's chat-latest model; other coaching and review features use OpenAI's gpt-6-astra model. Google Gemini models support safety screening and voice transcription. Models may change as the app develops.

We do not use your journal content to train AI models ourselves. AI services may retain request logs under their own data-handling policies for security and abuse monitoring. Contact us if you would like more information about the policies that apply to your data.

The AI asks questions and offers reflections based on Naomi's coaching method and Scripture. It can make mistakes and never speaks for God. Decisions remain yours. If the app detects an immediate safety concern, including thoughts of harming yourself or others, it pauses coaching and points you to real-world support.

6. Who can see your content

Your journal content is visible only to you in the app, not to other members. We do not read your entries except when you ask us to (for example, for support), when needed to keep someone safe, to investigate a security issue, or when required by law.

7. Who we share data with

We never sell your data. We share it only with service providers that help run the app, subject to applicable data-protection terms:

  • Lovable Cloud: app hosting, secure data storage, login, the AI Gateway and app notification emails.
  • OpenAI and Google: generating coaching replies, safety screening and transcription through the Lovable AI Gateway.
  • Stripe: payments.
  • Kit: waiting-list, welcome and marketing emails where you have provided your details for these purposes.

We may also share data if the law requires it.

8. International transfers

Some providers may process data outside the UK, for example in the US or EU. Such transfers must comply with UK data-protection law and use applicable recognised safeguards. Contact us for information about the safeguards that apply to a particular provider.

9. How long we keep it

  • Journal and coaching content: while your account is active. You may request deletion of your account or journal content, or withdraw your sensitive-data consent, by emailing us. We will stop consent-based coaching processing when you withdraw consent and respond to your request within one month.
  • Inactive accounts: you can request deletion at any time. There is currently no automatic deletion after a fixed period of inactivity.
  • Payment records: 6 years, as required by UK tax law.
  • Marketing preferences: until you unsubscribe, with any suppression record needed to respect that choice.

Some records may need to be retained to meet legal obligations. We will explain any applicable exception when handling your request.

10. Keeping it secure

Data is encrypted in transit and stored in a database where each user can access only their own records. No system is perfectly secure. If a breach affects you, we'll tell you and the ICO as the law requires.

11. Your rights

You can ask to access, correct, download, or delete your data, object to or restrict how we use it, and withdraw consent at any time. Email naomi@timeandpace.com. We'll reply within one month. These requests are currently handled by email rather than an in-app account deletion control.

If you're unhappy, you can complain to the Information Commissioner's Office at ico.org.uk.

12. Age

Time & Pace is for adults aged 18 and over. We don't knowingly collect data from anyone younger.

13. Changes

If we make important changes, we'll tell you by email or in the app before they take effect.
